Once vendors are registered for the commodity or service they provide, they may be contacted to provide pricing in accordance with the following methods of procurement.
Bid Limits
The Purchasing Department will facilitate solicitations through our Purchasing Online system based on approved dollar thresholds. Opportunities for vendors to quote or bid for City business fall into two categories, formal and informal. These categories are determined by the following dollar amounts:
- Informal Quotes - $5,000 - $50,000
- Formal Bids and Proposals - $50,000 and over
- Formal Public Works Bids - $5,000 and over
- Formal Fire District Public Works Bids. - $10,000 and over
Informal purchases are between $5,000 and $50,000 and require three viable quotes obtained either by the Purchasing Division or the requesting City Departments utilizing defined procedures specified in the City's Purchasing Manual. Most informal quotes will be publicly posted on the Purchasing Online page under Current Purchasing Bids. Vendors interested in submitting a response must register as a vendor and download the quote in order to become a perspective vendor. Vendors must read and agree to all terms and conditions and utilize the specified forms as presented in the solicitation. The City will award the quote based on the lowest, most responsive, responsible response.
Formal bid opportunities are published whenever the City seeks to procure goods or services estimated to be over $50,000. Formal bids and proposals are publicly posted on the the Purchasing Online page under Current Purchasing Bids, will appear any day Monday - Friday, and must be open for a period of at least 10 business days from the due date. Responses must be clearly marked with the bid or proposal name and number and submitted in a sealed envelope. Bids and proposals may be sent by carrier service, mail, or hand delivered to the Purchasing Office.
Projects determined to be Public Works related are bid formally and facilitated through the Engineering Department or the Public Works Services Department for jobs estimated to be over $5,000 ($10,000 for Fire funded projects) and are accessible from the Purchasing Online page under Public Works Open Bids. Public Works bids are typically submitted to the City Clerks Office. It is the sole responsibility of the vendor to be familiar with the proper location the bid or proposal is to be submitted to as the location may vary.
Check your bid or proposal documents for details on how to submit a response. The City of Rancho Cucamonga reserves the right to reject late responses regardless of cause. All quote and bid responses are due on or before the time shown for each solicitation. Late responses will be rejected, no exceptions. It is the vendors responsibility to ensure that the most complete and current version of the solicitation, including addenda, has been downloaded from the City's website. Responses received without the applicable addenda will be rejected as incomplete.
Important Notice
No bid or proposal will be considered from a Contractor to whom a bid or proposal form has not been issued by the City of Rancho Cucamonga.
